 MINUTES OF VMC MEETING HELD ON 07/09/2015(MONDAY) AT 01:00PM

 

(1)   PRINCIPAL WELCOMING THE VMC MEMBERS: Highly esteemed chairman, honorable members of Vidyalaya management committee a very good morning to one and all. Today we have assembled here to discuss various activities of our vidyalaya past & present during the academic year 2015-16. On this auspicious occasion I welcome you one and all with warmth love and affection. Your valuable suggestions and guidance is a great source of inspiration and yeaman’s service to our Vidyalaya. Once again I heartly welcome you all. With kind permission of the chairman, let’s see the today’s agenda of the meeting (agenda is attached & kept in files).

 

(2)   PREVIOUS MEETING:  Let us switch on to the previous meeting held on 30-01-2015 and the action taken. 

 

a.       It was decided to repair cracks on the walls and beams of structure of the Vidyalaya building. It is under process and we are waiting for the approval. It was estimated for Rs.18, 00,000 and requested for sanction of that said amount to KVS Regional office.

b.      Required repairs to the furniture and class room boards wherever necessary was done.

c.       Requisite numbers of computers were provided by KVS.

d.      Procured new furniture from Nellore Central Prison  to meet the increasing needs of students.

e.       The decision taken to implement computer aided learning is going on smoothly.

f.       Water tanks, coolers and water points are being cleaned and maintained time and time again.

g.      Much attention is paid on academics (result), thereby laying emphasis on mediocre and slow learners.

h.      Extensive number of books was purchased both in English and Hindi to cater the needs of the students. In order to provide a platform for competitive exams some of the important monthly and periodical magazines are subscribed.

                 ACADEMICS - SCHOLASTICS:

        100% result was achieved in classes X & XII for the year 2014-15. In class XII total appeared 17 Total passed 17. Pass percentage is 100% and Performance Index (PI) is 60.59%.

Steps for this academic year target: It is decided to get 100% result in X and XII with 5 % more PI and 10 CGPA’s 10% students during the year 2015-16.Therefore special classes are arranged, sample papers are being solved. Therefore it is decided.

PSA TEST: It is decided to practice children of IX, X, XI, XII

CCE:  As per CBSE instructions, CCE-tests and activities are conducted from time to time and records are maintained.

 

          CMP:

As per KVS instructions, CMP activities are conducted such as –film shows, involving students in teaching – learning activities, preparing teaching aids, etc.

    It is decided to conduct community lunch, arrange tours, sports and games cluster level etc.

The purpose of CMP activities is to identify and to nurture the talents of primary children.

 

 SA I – EXAMS:  It is decided to prepare the children for SA I Exams which are going to be held from    21/09/2015.   

 

 CO-SCHOLASTIC ACTIVITIES:

 

NCC:  New girl and boy cadets were enrolled and training is imparted systematically. 25 boy cadets, 25 girl cadets took part in 2015 Independence Day parade held at KV1 Uppal.

 This Vidyalaya registered under PMSC competition and doing the different community service programmes under this in Aadarsh Nagar, Ram Nagar, Beach and Forest Areas, Vedulapalli villages.

 

RAJ BHASHA DEVELOPMENT:

·         Our school is giving top  priority to Hindi language

·         For RajBhasha development we are conducting diploma course based examinations by Dakshana Bharath Hindi Prachara Sabha Madras from Pradama to Praveena.

·         We are celebrating Hindi Pakwada from Sep 1st 2015 to Sep 15th 2015.

·         On Sep 14th Hindi Diwas Celebration.

·         September month in the morning assembly each teacher will give 2 mins speech in Hindi.

·         Whatever announcements are there should be made in Hindi only.

GUIDANCE & COUNCELLING:

Appointed a counselor and the activities are conducting as per the KVS.

SPOKEN ENGLISH:  we are encouraging all the students to speak in English-conversation, Vocabulary etc. were started in morning assembly. It is made compulsory to speak in English. It was observed  “English week” and conducted various activities – English, debate, elocution, essay writings, poem recitations, book reviews, speaking & listening act, etc.

VARIOUS CLUBS –

Integrity Club: inculcating moral values in students

Cultural Club : celebrating all festivals, customs& cultural values, traditions.

Science Club: encouraging students to have scientific thinking activities.

Art Club: to enhance creativity, artistic values & art activities.

Adventure Club: taking children to adventure act.

Literary Club: to improve language in students and to conduct various literary activities.

Olympiads:  we encouraged students to take part in science Olympiad, Maths Olympiad, Green Olympiad.

Celebrations:  We are celebrating all the National festivals.

Excursion/Tours/Trips: We have already conducted trips for cl III to V to Food and Science College at Bapatla. For Classes VIII to XII a trip was conducted to Hailand.  On the same day some students were taken to Knowledge exhibition train in Guntur. Class XI and XII students were taken to FOOD SCIENCE Exhibition held at FOOD SCIENCE College Bapatla. This year also we are planning to take the children to

the places where they gain the knowledge.

 

Exhibitions: Preparing the children for social science exhibition which is going to be held at KV Kurnool.

 

INSPIRE NTSE, KVPY & OTHER NATIONAL LEVEL EXAMS: It is decided to encourage students to take part in Maths, Science, English, and Cyber Olympiads further.

 

 

ADMINISTRATION

Admissions:  As per the KVS instructions we have admitted the students from class-I to XII.  VMC has approved all the admissions made during 2015-16.

Total strength of Vidyalaya: 1036

Part time teachers have been engaged against clear vacancies with approval of the Chairman VMC.

           

Publicity of school Activities: As children’s talents, achievements are to be known publicly, we are giving school news in newspapers and Local TV/SITI-Cable etc.

Medical Check-Up: Medical Check Up will be conducted as per the schedule during this month.

Transportation: Present Vidyalaya strength is about 1036.     AFS Buses-2, APSRTC buses -4 in the morning and 4 buses in the afternoon are involved in transportation. In addition to those, parents send their children by private Vehicles-autos and Maxis. However safety of children is at most important.

Staff Quarters:  Principal has briefed about the allotment of staff quarters and informed that no staff quarter is lying vacant.  VMC has ratified all the allotment of staff quarters allotted to the needy staff of the Vidyalaya as per the norms.

Disciplinary Cases:  It is noted by the VMC that the Disciplinary Cases as on date is NIL

Inservice Courses: As per the KVS Training Policy Teachers including Principal have been deputed to attend various in-service courses/Training Programmes as per the Schedule

 

Accounts:

1.      All Internal and AG Audit Paras have been dropped as on date.

1)      Revised estimates 2015-16 and budget estimates 2016-17 of SF and VVN have been approved by VMC.

2)      It is decided to procure and install CC Cameras at relevant places and at main entrance.

3)      It has been decided to convert all classes from 6th onwards to E-Class rooms as per KVS instructions.

4)      As per RTE, 2009 and BPL concessions, we are following within our permissible limits and sources.  However, Parents belongs to BPL/RTE are permitted to pay the fees voluntarily if they are willing to pay the fees.   VMC has approved for the same.

CONSTRUCTION, MAINTENANCE & REPAIR WORKS:

1.      Principal has informed the VMC that the school building has been technically inspected by the Bapatla Engineering College.   It was pointed out that the left wing of the building is unsafe and proposals obtained from MES for renovation  have been submitted to KVS for approval.

Chairman has instructed to take up the matter with KVS again and necessary renovation process may be taken up on war foot basis.

2.      Similarly, underground cables which are damaged may be replaced with immediate effect to avoid power interruption and for the smooth functioning of the Vidyalaya.

3.      As per the KVS instructions for construction of additional class rooms, we have asked the MES to provide the approximate estimates and design, they accepted and  it is under process.

 

 

 

 

ANY OTHER POINTS WITH THE PERMISSION OF THE HON’BLE CHAIRMAN VMC

 

1.      Permanent Passes at security check to regular employees of KV who have already confirmed and underwent police verification.

2.      Extension of  Medical facilities to KV staff by AFS

3.      Transport facility may be extended to KV students participating in different activities by arranging AFS vehicles.

4.      Power interruption timings may be shifted preferably after school hours i.e., 2.40 PM.,

5.      Deputing concerned AFS personnel with machinery to remove unnecessary bushes and grass at the surroundings of the KV for the safety of the children.

6.      Extra classes should be enriching subject.

7.      Preparing students for competitive level.

8.      Teachers’ attendance and completion of syllabus in time, Safety of children, Better performance, hygiene.

9.      Being in touch with the parents esp.slow-learners.

10.  Inculcating good habits among students esp. spoken English.

 

Next VMC Meeting Proposal- It is proposed to have VMC meeting in 1st week of December 2015.

        100% result was achieved in classes X & XII for the year 2013-14. In class XII total appeared 21 Total passed 21. Pass percentage is 100% and Performance Index(PI) is 67.14.

Two students got 10 out of 10 CGPA

1.       Kumari.Bindu Bhargavi  and

2.       Kumari. M.N.S.Lakshmi   who got seats in IIIT ,Nuzvid, but rejected and joined our Vidyalaya.

3.       Master Bala Krishna who got 8.4 CGPA got seat in IIIT under sports quota.

It is decided to get 100% result in X and XII with 5 % more PI and 10 CGPA’s during the year 2014-15.

4.       Kumari.Priya Singh Topper in Class XII 2012-13 got seat in Medicine through AIPMT,2014.

5.       Kumari. Amrutha Varshini class XII 2013-14 got seat in RIE Mysore.

 

Best School Momento:

     Our Vidyalaya was given best school momento by Regional office for Excellent Result in X and XII.

Appreciation  Letters:

       Our teachers who taught Board Classes were given Appreciation Certificates by HRD Minister.

FA1 Exams:  Present FA1 exams are going on. Unit Test was conducted for Classes XI(Sci) and Monthly Test for class XII.

Extra Classes : It is decided  to conduct extra – classes for XII and other classes as per their requirement.

 

PRACTICALS FOR XII AND OTHER CLASSES IN REQUIRED SUBJECTS

   It is decided to conduct practicals as per the scheduled periods.

PSA TEST : It is decided to prepare the children for PSA Test.

IIT/JEE/EAMCET,etc : Claa XII students are given guidance from time to time about these exams.

CCE:  As per CBSE instructions, CCE-tests and activities are conducted from time to time and records are maintained.

  CMP:

          As per  KVS instructions, CMP activities are conducted such as –film shows, involving students in teaching – learning activities, preparing teaching aids,etc. primary children cubs & Bulburs utsav were taken to KV,ONGC Rajahmundry to participate in various cluster level Scout &Guide. 

        Our children took part in community lunch cl I & II were taken to field trip with in AFS campus.

The purpose of CMP activities is to identify and to nurture the talents of primary children.

 SA I & SA II – EXAMS :  It is decided to prepare the children for SA I & SA II Exams.

CO-SCHOLASTIC ACTIVITIES:

              NCC:  New girl and boy cadets were enrolled and training is imparted systematically. NCC Day was celebrated on 24/11/13. Some of our NCC cadets 30 attended to ATC,CATC,NIC camp  at Vijayawada  during winter break. Junior wing boys 50 Junior girls 32

                It is proud that Rizwana of class XII attended to NCC Prog. National level at Manipur/Guwahati .

         SCOUTS & GUIDES :  It is decided to strengthen the existing scout department. We conducted Pre-Rajya Puraskar Testing Camp in April and July 2104 for which 400 scouts & guides from region attended.

6 students were allotted to our Vidyalaya all were qualified to Rashtra pathi puraskar.

GOLDEN JUBILEE CELEBRATION :

 We celebrated golden jubilee of KVS.

 (1) 5000/- CASH PRIZE WAS AWARDED AS INSPIRE AWARD TO  Kum.Durga Priyanka class IX.

(2)Master Jaiwant – class IV, passed district level spell bee competition conducted by saakshi TV and this was published in local news papers.

(3) we conducted rangoli competition under CCA for students of cl.IV & V on the topic “ KVS NEW LOGO”

 HINDI FORTNIGHT CELEBRATION : It is decided to celebrate Hindi  Phakhawada  in Sept 2014. Aarambh to Hindi Ratna- a certificate exam was conducted on 06/01/14, to improve Rajbhasha Hindi among students.

GAMES: We encouraged our students to take part in cricket at Guntur in Dec,2013.

GAMES & SPORTS : About 108 students participated at  during 29-31 Aug2013 KVS Regional (HR) meet at Hyderabad –kabaddi, girls –II place, kho-kho boys -3rd place, Handball(boys)-2nd place, mohan,avinash- Volleyball, jeevana sandhya-Basket ball, pawan kalyan,balakrishna- Kho-kho, pavan,anil,srikar,teja for nationals. It is decided to prepare the children this year also. Master Bala Krishna got seat in IIIT under sports quota(Kho-Kho).

CCA Activities : Some of our children took part in skit, at suryalanka beach festival.Alex & Anurag have taken part in drawing & painting competition at Bapatla.

SOF(Science Olympiad Foundation) – (a) Our children took part in National cyber Olympiad, National Science Olympiad, International Maths Olympiads. 10 children were qualified for 2nd level exam to be held in February,2014. It is proud to know that 10 gold medals, 10 silver, 10 bronze medals were adorned by our children in National Science Olympiad.

·         Our class XI & XII students took part KVPY exam-result awaited.

·         Our class X children took part in NTSE exam held in Oct2013.

·         Classes VIII, IX & X students  wrote Green Olympiad exam and received certificates.

·         Our 06 students cl-XI & XII took part Regional level science exhibition held at KV,NPA,Shivarampally,Hyderabad.

·         12 children of our Vidyalaya took part in National Children Science Congress, at KV Hakimpet and 3 students got appreciation certificates for their research work.

·         06 guides(Teachers) got appreciation certificates for their good guidance.

·         Our students enrolled International English Olympiad which is going to be held on 30Jan2014.

·         It is decided to encourage students even this year  2014-15 also.

Parent-Teacher Meetings  It is decided to conduct Parent – Teacher  Meetings as per the Schedules.

Excursion/Tours/Trips: We have already conducted trips for cl I & II inside the AF Station. It is proposed to take our children to ITC, chirala, AF Firing demonstration at the beach, sea-sailing etc. with the help  of AF officials.It is decided to conduct even this year also.

Exhibitions : we conducted science and SST exhibition at school level and participated  at 

KVS regional levels held at Hyderabad.

Science & Social Science Exhibitions :  It is decided to conduct these exhibitions at Vidysalaya level and to prepare the students.

Inspire, NTSE, KVPY & Other National Level Exams: It is decided to encourage students to take part Maths,Science,English,Cyber Olympiads Celebrations: It is decided to celebrate National Festivals and other important days.

ADMINISTRATION

Admissions: As per the instructions & guidelines released by KVS in February & March 2014, admissions are done.

 Interviews were conducted in May 2014 and Part – time appointments were made.

Condemnation of articles: As recommended by the inspection team, procedure started and completed condemnation works for the year 2013-14.

Computer Works:  We need 20 computers for which we sent requisition to KVS,RO.

Publicity of school Activities: As children’s talents, achievements are to be known publicly, we are giving schools news and newspapers and now on wards to utilize services of Local TV/SITI-Cable.

Enrichment of Maths lab and establishing Maths Garden: As recommended by inspection team, establishment works of Maths Garden started and to finish very soon and also decided to provide & required equipment to Maths Lab.

Medical Check-Up: It is decided to conduct  1st round medical check-up  in Aug 2014 and will complete 

2nd round medical check-up in the 1st week of February, 2015.we are  taking precautions in Sanitation & Hygiene.

Transportation: Present Vidyalaya strength is about 1100. AF Buses-2, APSRTC buses -4 in the morning and 3 buses in the afternoon. In addition to those, parents send their children by private Vehicles-autos and Maxis. However safety of children is at most important.

Safety, Security, Fire Safety: As desired by KVS officials, Chairman is requested to arrange concerned persons to check, and to issue building safety & fire safety certificates for welfare of students.

Accounts:

1)      Our Vidyalaya Annual Budget for 2014-15 and proposed budget for 2015-16 attached with this for approval.

2)      Vidyalaya internal audit inspection for the year 2013 was completed on 08/12/13 & 09/12/13

3)      It is proposed and decided to purchase water coolers where ever required and also acqua-guard to purify water.

4)      It is decided to purchase Maths lab equipment as per KVS norms.

5)      As Vidyalaya is in dire need of computers, we approached the KVS officials to supply computers. As it is under process, it is also decided to purchase a few computers from VVN available funds with the permission of Chairman and Regional office.

6)      As per RTE, 2009 and BPL concessions, we are following with in our permissible limits and sources.

7)      As CCTVs have their role to give fruitful results and to check indiscipline activities in Vidyalaya, it is decided to install in required places phase by phase.

PROPOSAL OF COMPUTER INSTRUCTOR :

As per norms, Computer classes from III to X periods

III to VI    -  4 X 6  =  24

VII to X    -  4 X 4  =  16

XI & XII    -  2 X 9  =  18

Total periods of PGT & Computer Instructor : 58.

Presently work load to each teacher is 29 periods per head.

CONSTRUCTION , MAINTENANCE & REPAIR WORKS :

1)      It is decided to purchase water coolers wherever required as summer is approaching.

2)      It is decided to repair patch works in the Vidyalaya and Vidyalaya road wherever required.

3)      It is decided to arrange/construct steps at the cl- VI & VII corridor.

4)      It is decided to repair furniture and class room boards wherever required.

5)      It is decided to purchase computers from the available sources.

6)      It is decided to procure new furniture for students as per the requirement.

7)      It was  utilized 5lac rupees –MP fund- for flooring assembly area.

BUILDING MAINTENANCE & SAFETY OF BUILDING :

              The building is maintained from time to time. But any  how the inspection team reported to take  some mansion works to maintain the building, racks, etc.

CLASS – ROOMS CONSTRUCTION :

  With the sanction of additional (class-rooms) ‘ C’ section in class I to V(2013-14) and VI (2014-15).We need to construct the additional class rooms. So far same class  rooms/big rooms were partitioned and for next year there is no such room for time being arrangement. Therefore it is decided to speed up the process of sanction of funds for construction.

Water: As the strength is increased to  about 1100 students, it is decided to provide sufficient water to students.

 

ANY OTHER POINTS PERMITTED BY THE CHAIRMAN:

Next VMC Meeting Proposal- It is proposed to have VMC meeting in 1st week of  Dec2014.
